Reservation and Deposit

Bookings are done on a "first come, first served" basis. ONLY A DEPOSIT WILL HOLD YOUR SPOT.

Reserve by telephone the date. Maddhatter Guides and Outfitters require full names, complete addresses and telephone numbers for "ALL GROUP MEMBERS", fax to (709) 437 6667 along with specific dates you booked (as per reservation form located here).

Each member is required to send $1250 USD deposit per hunter.

This deposit is to be received within 14 days of your telephone reservation.

Former clients spots will be available in "good faith" only till January 31st.

Deposits are required by "ALL MEMBERS" of your hunting group to ensure the requested dates are reserved. Otherwise, your group risks having all deposits returned in lieu of another group who has their deposits paid and all contracts completed.

The onus is on the group organizer to ensure all group members are aware of this booking policy.

Once we have received the deposits from "ALL GROUP MEMBERS", Maddhatter Guides and Outfitters will send out confirmation in the form of a contract and a receipt for your deposit.

All contracts have to be completed and returned.
NO ONE WILL HUNT WITHOUT A COMPLETED CONTRACT.

Payment must be received in full by May 31st of the year of the hunt (this allows Maddhatter Guides and Outfitters 3 month to fill any cancellation and sort out the non-committed hunters from larger groups).

Standard and Prorated packages - we will continue to offer this option. Please note those hunters booking alone or with one or two partners, may be paired up with other hunter/s unless they are booked under the "exclusive - prorated rate" as outlined in the final client/outfitter contract. We prefer to book "full groups" versus "mixed groups". Preferences will be given to groups of 4 or 6 hunters.

All payments are non refundable after January 1st of the year of hunt. Refunds after January 1st of the year of the hunt will only be considered if and only if either: the hunter or outfitter is able to find an alternate hunter (acceptable with the rest of the group) or the outfitter s unable to provide the service!
Cancellations prior to January 1st of the year of the hunt will incur a $250 USD service fee.
Rebooking Policy:

The best time and place to rebook is at the camp prior to going home after your hunt.

Hunters can ensure their spot and current year rate for the following year by paying a $500 USD deposit upon departure and another $750 USD by the end of January.

Hunters who would like to rebook have until January 31st to submit deposits for all group members.

After January 31st, all hunting spots are available for booking new clients. Please note, that the same holds true for whole groups wanting to rebook a week.

Deposits for all group members are required by January 31st to rebook that particular week, or the whole group risks having their deposit returned.
No payment of your deposit is deemed as your acceptance of the above-described conditions!
